System Flow AI builds and manages an automated backend for small trades businesses — typically companies with 2 to 15 employees doing between $500K and $5M in revenue. We deploy four connected systems: a custom website, a CRM pipeline, an AI phone and text agent, and an AI calendar assistant. You get the full stack built and running, then we manage it monthly so it keeps performing.

Do I need any existing software or tools?

How long does it take to get set up?

Do all four systems have to be purchased together?

That said, if you're working with an existing website or just want specific systems, we can discuss that on the audit call. The four-system package is the best value because the systems genuinely amplify each other.

What Does It Cost?

What is the pricing structure?

Starting at $300 per month, plus a one-time setup fee of $1,000. The setup fee covers the build — every system configured, connected, tested, and launched. The monthly retainer covers ongoing management: AI agent monitoring and retraining, CRM updates, website maintenance, review automation, monthly performance reports, and dedicated support.
What does the $1,000 setup fee include?

Everything required to get all four systems live: your custom website built and launched, your CRM configured with pipeline stages and automation sequences, your AI phone agent trained on your business, and your AI calendar set up with booking links and reminders — all connected and tested. Plus a full walkthrough call before we hand it over.
What does the $300/month retainer include?

Monthly monitoring of your AI agent's conversations with retraining when needed, CRM pipeline updates as your business evolves, website content updates and maintenance, review automation and reputation management, a monthly performance and revenue report, and a dedicated support line. Your systems don't just stay running — they get better over time.
Are there any hidden fees?

No. The setup fee and monthly retainer are the full cost. There are no per-booking charges, no long-term contracts, and no surprise invoices. If anything ever changes about the pricing structure, we'll tell you well in advance.
Can I cancel?

Yes. Cancel anytime with 30 days notice — no long-term commitment required. We'd rather earn your business every month with results than lock you into something you can't get out of.
Is the setup fee worth it for a small business?

Consider this: a single recovered emergency call on an HVAC or plumbing job is often worth $800–$3,000. If your AI agent captures one job in the first month that would have gone to voicemail, the setup fee is already paid for. At $300/month, one recovered lead per month more than covers the retainer indefinitely.

How Does the AI Phone Agent Work?

Does it replace my actual phone number?

No. It integrates with your existing number. You keep the same phone number — the AI activates on missed calls or after hours, then steps aside when you pick up. Your callers dial the same number they always have.
Will callers know they're talking to an AI?

Your choice. We can configure it to be transparent ("Hi, I'm an AI assistant for Smith's Plumbing") or to present as a virtual office assistant. Most clients prefer transparency — customers generally don't mind as long as they get a fast, helpful response at 11pm on a Sunday.
What if the AI gets a question it doesn't know?

It escalates gracefully — tells the caller that someone from the team will follow up with that specific question, collects their contact info, and logs it in your CRM. It never guesses at pricing or makes up answers. Anything it can't handle becomes a follow-up task for you.
Does it handle texts too, or just calls?

Both. The missed call text-back is text-based by default, and the AI also handles inbound SMS from your business number — answering questions, collecting job details, and flagging urgent messages the same way it handles calls.
How does it handle emergencies after hours?

We configure urgency detection during the build. When a caller describes an emergency — burst pipe, no heat in winter, flooding — the AI flags it, collects their address and contact info, and notifies you immediately via text with the full context. You decide whether to respond. Everything gets logged regardless.
How does monthly retraining work?

Each month we review a sample of your AI's conversations, flag anything that could be improved — a wrong answer, an awkward response, an outdated price — update the training, and push the changes. Your agent gets more accurate over time, not stale.

About the CRM System

Do I need any technical knowledge to use the CRM?

None. We configure everything before you ever see it. The interface is designed for an owner on a phone between jobs — visual, simple, and fast. If you can drag a card across a screen, you can use this CRM.
What platform is the CRM built on?

We use an enterprise-grade CRM platform, white-labeled and configured specifically for your business. You won't interact with the raw platform — you get a clean, customized system built for how trades businesses actually operate.
What happens to my existing customer data?

We import it. If you have a spreadsheet, a contact list in Google, or even just names and numbers in your phone, we migrate what you have into the new system. You're not starting from zero.
Can multiple people on my team use it?

Yes. You can add team members with different permission levels — a technician can see their assigned jobs, a manager can see the full pipeline. We configure the roles during the build so access is set up correctly from day one.
What if my process changes after we launch?

That's what the monthly retainer covers. Add a new service, expand to a new area, change how your pipeline stages work — we update it. Your CRM should evolve with your business, not stay frozen at launch day.

Scheduling & Calendar Questions

Does it replace Google Calendar?

No — it enhances it. You keep using Google Calendar exactly as you do now. Our system syncs with it so all AI-booked and auto-scheduled jobs appear there automatically. Your crew doesn't need to download anything new.
What happens if I need to block off time last minute?

Block it in Google Calendar and the system respects it immediately. If a customer tries to book that slot, it won't be offered. We can also set up a quick way to mark yourself unavailable from your phone for emergency blocks.
Can customers cancel or reschedule on their own?

Yes. Every booking confirmation includes a link where the customer can reschedule or cancel. When they do, the slot reopens automatically, your Google Calendar updates, and you get a notification. No back-and-forth calls required.
How does crew scheduling work for multiple technicians?

Each crew member gets their own availability and connected calendar. When a job is booked or assigned, the right technician gets the event. You can view the full crew schedule in one place or filter by individual. Double-booking is impossible by design regardless of how jobs come in.
Can I still manually book jobs the old way?

Absolutely. Manual bookings go through the same system. Conflict detection runs on all bookings — whether you entered it, a customer booked online, or the AI scheduled it. Everything stays in sync.

Website Build Questions

Do I need an existing website?

No. We build from scratch if needed. If you have an existing site you want modernized, we can redesign and relaunch it. Either way, the result is a fast, mobile-first site connected to your CRM and booking system.
What platform is the website built on?

We host on Cloudflare's global network — one of the fastest and most reliable platforms available. Your site loads in under 1.5 seconds anywhere in the country, which directly impacts both Google rankings and whether visitors stay to book.
Who handles updates after launch?

We do, as part of the monthly retainer. Need to add a new service, update your service area, change your pricing, or refresh photos? Send us the changes and we handle it. You never need to log into anything or touch a line of code.
Will the site help with Google rankings?

Yes. We build with local SEO structure baked in — service area pages, schema markup, location-specific content, and speed optimization. These factors directly affect where you show up in Google Maps and organic search for the cities you work in.
Can I keep my existing domain?

Yes. We connect to whatever domain you already own. If you need a new one, we can help with that too. Your domain, your brand — we just make it perform.

Ongoing Service Questions

What does "dedicated support line" mean?

Retainer clients get a direct line to our team — not a ticket system or a generic support queue. If something breaks, if you want a change, or if you have a question about how something works, you reach us directly and hear back the same day.
What's in the monthly performance report?

A summary of how your systems performed: AI agent activity (calls handled, leads captured, escalations), CRM pipeline metrics (leads added, conversion rate, pipeline value), website traffic and form submissions, and any updates made that month. Clear numbers, not fluff.
What if something breaks or stops working?

We monitor your systems proactively — most issues get caught and fixed before you ever notice them. If something does come to your attention, contact us directly and we'll resolve it. Uptime and reliability are part of what you're paying for.
Can I request changes or additions after launch?

Yes — routine updates and modifications are included in the retainer. New service pages, pipeline stage changes, AI retraining, pricing updates, reminders tweaks — that's all covered. For larger builds (a full second website, a complete CRM rebuild from scratch), we'd discuss scope separately.
What happens to my systems if I cancel?

Your website, domain, and any business data belong to you. We'll provide an export of your CRM contacts and data, and we'll document your system configuration so nothing is lost. We want you to stay because the systems keep performing — not because leaving is hard.
